A rapidly expanding offshore law firm has an exciting opportunity available for a Business Development (BD), Events & Marketing Co-ordinator to cater to the surging demands of its events. As part of this pivotal role, you will oversee the management of diverse event types across six offices, collaborating closely with local representatives. The aim is to curate an events programme that includes hosting client seminars, receptions, webinars, hybrid seminars, and dinners both in-house and at external locations.

This position falls under the direction of the Head of BD and is integrated into the broader BD and marketing team. This team is responsible for an array of areas such as client development, practice group BD, CRM, brand and online marketing, along with communications and PR on a global scale.

As an Events Co-ordinator, you will be tasked with the project management of numerous in-person events throughout the firm, ensuring our events are executed to the highest quality. You will be the main liaison with key stakeholders, including fee earners, the BD & Marketing teams, secretaries, facilities, and IT. Moreover, you will be tasked with managing a range of virtual, webinar, and hybrid events throughout the firm, working intimately with both internal and external panellists.

Your responsibilities will include conducting pre-event virtual tests with panellists on the firm's platform and offering support as necessary. You will be expected to research and provide detailed proposals inclusive of cost estimations for corporate hospitality review. It will be your duty to develop a comprehensive understanding of the events process and to implement a best practice events checklist.

Additional duties will entail training and coaching Personal Assistants and Team Assistants responsible for administrative aspects of seminars, events, and client receptions, such as client greeting, registration, and post-event CRM updates. You will also assist with the drafting of event budgets and request budget approval from partners, ensuring clarity on proposed costs and potential returns on investment.

As such, you will work closely with colleagues in the Marketing team to gather their support and assistance with BD activities and events. In addition, you will work co-operatively with internal teams such as facilities, IT, and finance.

Strong attention to detail, a proven track record for delivery, and the ability to manage multiple projects simultaneously are essential skills. You should have strong planning abilities and a teamwork ethic. The ability to work successfully with minimal supervision, seeking and taking direction appropriately from the Head of BD, with flexibility under tight deadlines is crucial. Experience in a legal firm or professional services firm is required.

Excellent writing and communication skills are a necessity, along with the ability to manage the expectations of senior stakeholders. You will develop and demonstrate expertise in event production, vendor negotiation, event contract procedures, logistics, and audience management.
